Why?

Complete your training offering with e-learning, so you can deliver a total range of blended learning.

Nowadays, participants are not only taught in a traditional classroom, together with the teacher in a classroom, but also via e-learning. The participants can then use a computer remotely and interactively, allowing them to organise their own time. This is done in an environment that supports e-learning, in an electronic learning environment (ELE) of which Moodle is one. Did you set up an e-learning environment for your participants in Moodle? Then you can use a number of steps from Coachview to ensure that a participant is registered in Moodle and has access to one or more courses.

What's happening?

If a person enrolls in a Coachview programme with an e-learning component, the following automatic process will start:

  1. If the participant is not yet known in Moodle, it will be created (logged in) in the Moodle environment.
  2. From Coachview the participant will receive an e-mail with login name, password and url to your Moodle environment in your own house style.
  3. The participant automatically gets access to the corresponding cohort or course in Moodle.
  4. When the course is finished (CourseCompleted), the result will be sent back to Coachview, and the attendance and success will be registered.
  5. If you write the participant out of the course, an automatic process ensures that the participant no longer has access to the course in Moodle. Note: the participant will not be removed or deactivated in Moodle! If you want to delete a participant, you have to do this yourself via Moodle.
What's needed?
  1. Moodle version: from version 3.0, via 'Site-administration' and 'Registrations' you can check your Moodle version.
  2. Results: installing a plug-in in Moodle is required to send the results from Moodle back to Coachview after a course completion (see the step-by-step plan below).
  3. Support: if you have any questions, please contact our support department at 088-4488555, support@coachview.net or your Moodle supplier.

How?
Below is shown which fields from the personal file in Coachview are filled in in Moodle. A number of fields can be set via the Service Center. Do you use diacrites in Coachview, letters with a written character that is placed above, below or by a letter to indicate the pronunciation? Then Moodle will not accept them in the user name. This also applies if you have accidentally added a space in the first or last name. Coachview automatically filters these out.

GDPR!

Have you set up the Privacy Tool for GDPR/AVG from Moodle version 3.3.5?

Then you have to agree to the terms and conditions on behalf of the web service account via Site Management -> Privacy and Policies -> user agreements on behalf of the web service account.

In addition, the plugin that sends the results back to Coachview after a course completion must be installed or upgraded. See the following article: Read more.

Note:If there are already users in Moodle, check that the Moodle id matches the set id (external or personid) of this user (person) Coachview. Important because the ID is used to recognize a person in both Moodle and Coachview.

Note: In Moodle the first name is mandatory, in Coachview it is not. If a user is created via Coachview in Moodle without a first name, this will be accepted in Moodle. No error message will be returned. After logging in, the user receives an error message because 'first name' is missing. When performing the action to create the user, a check is made to see if the first name has been entered. No first name generates an error message.

Steps

Do you set up the link later while you are already live with Coachview or are you still going live? Then we recommend that you first test the link in the Coachview training environment (https://training.coachview.net). Consider for yourself if you want to use a Moodle test environment. If this is not possible, consider using a test course in Moodle. Please contact your Moodle partner for more information..
Optionall:
Create a test user in Coachview. Fill in surname, possible prefix, first name, initials, gender and e-mail address. Use an email address you have access to, so you can open the email with login name, password and url. You can then check if this e-mail is correctly displayed in your house style, and you can check if you can log in and start the course in Moodle.

Set up a document template to send the login data via e-mail from Coachview.Set up two action templates:

To register and give access to a course in Moodle.

To cancel access to the course in Moodle.

Set up a course definition Coachview.

Setting up Moodle. A number of settings in Moodle are important for granting Coachview access via web services. You must be able to log in as Administrator and have access to the menus 'settings' and 'site management'.
