Introduction.
As you can read in the introduction, a collective invoice is different from a normal invoice. With a normal invoice you invoice the costs of one application, composed using one type of training, for one debtor. If you use a collective invoice, you process several applications of different types of training on one invoice.

Example.

Compile a single monthly invoice for all registrations received in December 2017 that have not yet been invoiced, or not yet invoiced in part.

These are the applications for debtor 'InnoPhase B.V.




Only applications that became an order in December and for which the courses have been (= status 'Executed') may be invoiced on a single invoice.
  1. So these are the green bordered requests 07938, 07939 and 07940. An invoice has already been made for application 07940. Request 07939 has 9 sales lines, of which 8 sales lines are on debtor 'InnoPhase' and 1 sales line on debtor 'Johanneske Alleman'. This is one of the participants who pays the costs themselves. This sales line may therefore not automatically be included on the collective invoice.
  2. The orange 07941 request may not be invoiced because it has the status 'Waiting list'. Despite the fact that the order date falls in December 2017.
  3. Request 07942, outlined in red, may not be invoiced because the order date falls in January 2018.

How to do this via the overview screen of the invoices you can read below.


Example via the overview screen of the invoices.
  1. Open the overview screen via function group 'Financial' and function 'Invoice'.
  2. Click on the 'New' button to open the 'Create invoice from application' screen.
  3. The screen has 3 tabs, you will automatically go to the tab 'Debtor':
    1. Debtor: information about the debtor.
    2. Sales lines: which requests / sales lines can be invoiced.
    3. Invoices: overview of the created invoices.
  4. This is an overview of debtors with requests still to be invoiced.
  5. Find the debtor for which the collective invoice must be made. Search by company (A) or by person (B).
  6. Click on the name of the debtor and you will be taken to the next tab 'Sales lines'.
  7. All requests that have not yet been invoiced, or not fully invoiced, will be shown.
    1. No sales lines have been selected yet.
    2. The sales line of request 07939 that the participant is going to pay himself is not shown. InnoPhase B.V. is not set as debtor for this sales line.
    3. The sales line of request 07940 that has already been invoiced will not be shown.
  8. Select the sales lines you want to invoice by clicking on the checkbox. Select the box that stands for 'Billed%'? Then all sales rules will be selected (ticked) for that request. You can select or uncheck each sales line separately.
  9. Click on the 'Next' button. You will be taken to the tab 'Invoices'.A: If you want to invoice one or more sales lines in parts, you can set the percentage per sales line here.
    B: Change the invoice date.
    C: set the number of installments.
  10. You can always go back to the previous tab 'Sales lines' to change the selection of sales lines.

    Adjust the invoice date and the number of installments as needed.

    Click 'Create Invoice' to create the collective invoice.

    Are you ready? Then you still have two options:

    1. Click on the 'Previous' button or the 'Sales rules' tab. Select the uninvoiced sales lines and click on the 'Next' button to create a new invoice.
    2. Then leave the screen by clicking on the cross in the top right corner.
  11. The 'draft' invoice(s) have been made.


By the way, the invoice you created can be seen in the 'Invoices' tab of each selected request.
