Introduction.
As you can read in the introduction, a collective invoice is different from a normal invoice. With a normal invoice you invoice the costs of one application, composed using one type of training, for one debtor. If you use a collective invoice, you process several applications of different types of training on one invoice.

Example.

Compile a single monthly invoice for all registrations received in December 2017 that have not yet been invoiced, or not yet invoiced in part.

These are the applications for debtor 'InnoPhase B.V.




Only applications that became an order in December and for which the courses have been (= status 'Executed') may be invoiced on a single invoice.
  1. So these are the green bordered applications 07938, 07939 and 07940. An invoice has already been made for application 07940. Request 07939 has 9 sales lines, of which 8 sales lines are on debtor 'InnoPhase' and 1 sales line on debtor 'Johanneske Alleman'. This is one of the participants who pays the costs themselves. This sales line may therefore not automatically be included on the collective invoice.
  2. The orange 07941 request may not be invoiced because it has the status 'Waiting list'. Despite the fact that the order date falls in December 2017.
  3. Application 07942, outlined in red, may not be invoiced because the order date is in January 2018.

Example via the debtor 'InnoPhase B.V.'.
  1. There are two ways to open the debtor file:
    1. Function group 'Financial' and function 'Debtor'. Find the debtor and click on the name (bold and underlined).
    2. Via the company file and the 'General' tab. There you will see the link 'This company is also a debtor'. Click on this link.
  2. Click on the tab 'Invoices'.
  3. Click on the 'New' button to open the 'Create invoice from request' screen.
  4. The screen has 3 tabs, you will automatically go to the 'Sales rules' tab:
    1. Debtor: information about the debtor.
    2. Sales rules: which requests / sales rules can be invoiced.
    3. Invoices: overview of the created invoices.
  5. All applications that have not yet been invoiced, or not fully invoiced, will be shown.
    1. No sales rules have been selected yet.
    2. The sales line of application 07939 that the participant is going to pay himself is not shown. InnoPhase B.V. is not set as debtor for this sales line.
    3. The sales line of request 07940 that has already been invoiced will not be shown.
  6. Select the sales rules you want to invoice by clicking on the checkbox. Select the box that stands for 'Billed%'? Then all sales rules will be selected (ticked) for that request. You can select or uncheck each sales line separately.
  7. Click on the 'Next' button. You will be taken to the tab 'Invoices'.
    1. A: If you want to invoice one or more sales lines in parts, you can set the percentage per sales line here.
    2. B: Change the invoice date.
    3. C: set the number of instalments.
  8. You can always go back to the previous tab 'Sales rules' to change the selection of sales rules.
  9. Adjust the invoice date and the number of instalments as needed.
  10. Click on 'Create Invoice' to create the collective invoice.
  11. Are you ready? Then you have two more options:
    1. Click on the 'Previous' button or the 'Sales rules' tab. Select the uninvoiced sales rules and click on the 'Next' button to create a new invoice.
    2. Then leave the screen by clicking on the cross in the top right corner.
  12. The 'draft' invoice(s) have been made.


By the way, the invoice you created can be seen in the 'Invoices' tab of each selected request.
