Offering and invoicing in Coachview starts with properly setting up the sales rules. With sales rules you charge costs such as participation costs, exam costs, teaching materials, travel costs, preparation costs, etc. But you can also use them to determine the discounts. A sales rule is converted into an invoicing rule during invoicing. If Coachview is linked to an accounting system, then it is important to properly record the general ledger account, VAT, cost centre and debtor in the sales line. You can add a sales line to an request and/or a course definition. If you have added a sales line to a course definition, it will automatically be added to the request.


You can create a sales line for a course definition or request with the help of a sales line template.



Defining sales rule templates:

You do this using the function group 'Template' and the function 'Sales line template'.


It is wise to first record the correct VAT codes, general ledger accounts, cost centres and units.

Other
The price is not settled per participant, but applies to the entire application. Useful when determining a group price. It does not matter whether 1, 10 or 100 persons are enrolled per application. The price remains the same.

The number x the unit price
  1. If you have chosen for type 'PP' or 'PP' scale, the number will be calculated by Coachview. The total price of the sales line by multiplying the number of participants by the number x piece price. Fill in 1 here. If you fill in 2 then the total price will be the number of participants x 2 x unit price.
  2. If you have chosen type 'Other', nothing will be done with the number of participants. You can then manually increase the number of participants, for example when it comes to the number of parts of the day you want to settle.

Standard price per quantity. If you want to use this sales rule template with different course definitions, it is wise to leave the unit price at € 0,--. The unit price is then determined by the course definition.

Choose a VAT percentage from the list by clicking on the magnifying glass or typing in the code. If the VAT does not yet exist, you can create it using the plus (+). Use the cross (x) to remove the VAT from this sales line template.

Choose a cost centre from the list by clicking on the magnifying glass or typing in the code. If it does not yet exist, you can create it using the plus (+). Use the cross (x) to remove it from the sales line template. If you don't know yet which cost centre this is, you can also create a cost centre 'ADD TO BALK'. If you have added the sales line to the request or course definition, you can determine the cost centre at that moment.

General ledger account
Choose a general ledger account from the list by clicking on the magnifying glass or typing in the code. If it does not yet exist, you can create it using the plus (+) button. Use the cross (x) to remove it from the sales line template. If you don't yet know which general ledger account is involved, you can also create a general ledger account 'TO RENAME'. If you have added the sales line to the request or course definition, you can determine the general ledger account at that moment.

Category
Attach a sales rule category to this sales rule template. Easy when searching for sales rules with the same category, for example in the management information module.

The categories are created via function group 'Category' and function 'Category sales line'.
